I send many cold emails in my work. Most of them get no reply. This is normal. People are busy. They get many emails every day.

But some emails get replies. What is different about them? They are short. They are personal. They talk about the reader, not about you.

Writing these good emails takes time. This is where ChatGPT can help. With right prompts, you can write better emails fast.

Let me share what I learn.

The Problem With Most Prompts

Many people just type "write me a cold email." Then ChatGPT gives a boring email. It sounds like a robot. It has too many big words. Nobody wants to read it.

The secret is to give ChatGPT more details. You must tell it who you are. You must tell it who you write to. You must tell it the goal.

In my experience, more context means better email. Always.

Prompt 1: The Simple Starter

This is my basic prompt. I use it most of the time.

> "Write a short cold email to [type of person, like a marketing manager]. I sell [your product or service]. The goal is to [book a call / get a reply]. Keep it under 100 words. Use simple words. Make first line about them, not me."

The last part is important. "Make first line about them." This changes everything. People care about themselves, not about you.

Prompt 2: The Personal Touch

Generic emails get deleted. You need to show you know the person.

Try this prompt:

> "I am writing to [name], who works at [company]. I saw they recently [did something, like launched a product or wrote a post]. Write a cold email that mentions this. Then connect it to how I can help with [your offer]. Keep it warm and short."

I found that mentioning real thing about the person makes big difference. Reply rate goes up. People see you did your homework.

Prompt 3: Fix My Boring Email

Sometimes I already write an email. But it sounds bad. ChatGPT can fix it.

> "Here is my cold email: [paste your email]. Make it shorter. Remove boring parts. Make it sound human, not like sales robot. Keep the main message."

This prompt saves me many times. My first draft is always too long. ChatGPT cuts the fat.

Prompt 4: The Follow-Up

Most replies come from follow-up, not first email. This is true in my experience. People forget. They are busy. A gentle reminder helps.

> "Write a short follow-up email. The person did not reply to my first email about [topic]. Be polite. Do not sound angry. Add one new reason why they should reply. Keep it very short, under 60 words."

Short follow-ups work best. Nobody wants to read a long reminder.

Prompt 5: The Subject Line Helper

Subject line is first thing people see. If it is bad, they never open the email.

> "Give me 10 short subject lines for a cold email about [topic]. Make them curious but not spammy. Each one under 6 words."

Then I pick the best one. Sometimes I test two or three. The right subject line can double your open rate.

Small Tips I Learn

Here are few things that help me a lot:

  • Always read the email out loud. If it sounds weird, fix it.
  • Remove words like "I hope this email finds you well." Everybody hates this line.
  • One clear ask only. Do not ask for many things.

Also, do not send the ChatGPT email as it is. Always edit it. Add your own voice. Change small words. AI gives you a start, not a final email.

Why Editing Matters

This is very important tip. ChatGPT can sound the same for everyone. If you do not edit, your email looks like other AI emails. People can feel this.

So I always change few things. I add a small joke maybe. Or I make one sentence more like how I talk. This makes it human.
